Microsoft Teams guide for test users

Microsoft Teams is an online tool for moderated user tests. Below, you will find a step-by-step guide on how to use Microsoft Teams.

PREPARATION

Please make sure that everything is set up before the user test begins. To do so, use your confirmation email to check which device the test will be conducted on and set up the tool on said device (desktop or smartphone). That isn’t complicated and this step-by-step guide helps you, but please reserve some time for it.

HOW TO JOIN A TEAMS MEETING USING YOUR DESKTOP

To use Microsoft Teams on a PC or laptop, you must have one of the following browsers installed:

Some browsers, including Internet Explorer 11, Safari and Firefox, do not support all the functions Microsoft Teams offers. We therefore recommend using Google Chrome or Microsoft Edge. Windows users also have the option to join via the Teams app.

1. Click on the Teams link in your confirmation email.

Microsoft Teams will then let you select which application you would like to use to join the meeting.

2. If you decide to join via your web browser …

… then you will first have to grant access to your microphone and camera.

3. Then you enter your name.

You can also activate or deactivate your camera and microphone using the purple sliders.

On the right, you will find additional settings for your audio or video devices (for example if you would like to use another camera).

 

 

4. After entering your name, click on “Join now” to join the video conference.

Depending on the meeting settings, you can either join immediately or you will enter a waiting area from where you will be accepted into the meeting by a researcher.

5. The meeting organiser will let you into the room at the agreed time.

6. During the study, the researcher will ask you to share your screen.

You can do this by clicking on the icon with the arrow. Then click on the window that you would like to share. You can use the same icon to stop sharing your screen later on.

7. You can leave the call at the end of the meeting …

… by clicking on the red icon with the phone.

HOW TO JOIN A TEAMS MEETING USING YOUR SMARTPHONE

If you would like to use your smartphone, then you can join via Google Chrome or the Teams app. In other words, you have to have either Google Chrome or the Teams app installed on your phone before you take part in the test.

1. Click on the Teams link in your confirmation email.

2. Once you’ve clicked the link, choose whether …

… you want to take part in the test using the Teams app or Google Chrome.

As you open the application, you have to grant access to your microphone so that the other video conference participants will be able to hear you as well. To do so, click on “OK”.

You can join the meeting as a guest if you don’t have an account. Enter your name and click on “Join meeting”.

You will then be connected to the meeting and join the conference room’s waiting area.

 

3. The meeting organiser will let you join the room at the agreed time.

Now, all you have to do is grant access to your smartphone camera so that the researcher can see you.

Now, the other participant can see you.

4. During the study, the researcher will ask you to share your screen.

This is so that he or she can observe your interaction with the app or website that is being tested. You can do this by tapping on the icon with the three horizontal dots.

Tap on “Share screen” …

… and on “Start Broadcast” to start sharing your screen.

5. The researcher will let you know once you no longer have to share your screen.

You can then click on “Stop presenting” and your screen will no longer be visible to the other person.

 

6. Once the test is completed and you would like to leave the call …

… click on the red icon with the phone. This will end the call.
